Privacy Policy
Last updated: 24th September 2026
We take looking after your personal information seriously. This policy explains what we collect, why, who we share it with and the choices you have. If anything here isn't clear, just email us at hello@tribefortune.com.
Who we are
Tribe Fortune Ltd is a company registered in Scotland (company number SC798482), registered office Orchard Park, Dumfries DG2 8PU. We are the "data controller" for the personal information described in this policy, which means we decide how and why it is used.
What we collect
When you join our mailing list or a waiting list: your name, email address, and where you heard about us.
When you book an event or retreat: your name, contact details, booking details, and anything you tell us so we can look after you, such as dietary requirements, access needs and, for residential retreats, an emergency contact.
Health information: some of our retreats involve movement, wild swimming and other activities, and some focus on menopause. We may ask whether you have any health conditions we should know about so we can keep you safe. We only collect this with your explicit consent, and you never have to share more than you want to.
Payments: payments are handled securely by our payment providers. We never see or store your full card details.
When you contact us: whatever you choose to include in your message.
When you visit our website: information about your device and how you use the site, collected through cookies (see below).
How we use it, and our lawful basis
To deliver your booking, including confirmations, joining details and anything we need to run the event safely. Our lawful basis is that we need it to fulfil our agreement with you.
To send you news about our retreats, events and letters. We do this only if you have agreed to it, or if you have booked with us before and haven't told us to stop. Every email has an unsubscribe link.
To use any health information you share, so we can keep you safe during activities. Our lawful basis is your explicit consent, which you can withdraw at any time.
To run and improve our business, for example understanding which events people enjoy. Our lawful basis is our legitimate interest in running Tribe Fortune well, balanced against your rights.
To meet legal obligations, such as keeping financial records.
Who we share it with
We never sell your personal information. We share it only with trusted services that help us run Tribe Fortune, and only what they need:
HubSpot, which holds our contact records and sends our emails
Squarespace, which hosts our website, forms and event bookings
Our payment providers, such as Stripe and PayPal
Google Workspace, for our email and documents
Xero, for our accounts
Venues, caterers and practitioners working on an event you've booked, limited to what they need, for example dietary requirements for the caterer. We share any health information with a practitioner only where it's needed to keep you safe, and with your consent.
Partners we co-host events with, only where we have told you about it first
Some of these services store data outside the UK. Where they do, they use the legal safeguards UK law requires to keep it protected.
How long we keep it
Mailing list details: until you unsubscribe or ask us to delete them
Booking and payment records: six years, because the law requires us to keep financial records
Health information: deleted within three months of your event, unless something happened during the event that means we need to keep a record
Your rights
You have the right to:
ask for a copy of the information we hold about you
ask us to correct anything that's wrong
ask us to delete your information
ask us to limit or stop using it
withdraw your consent at any time
unsubscribe from our emails at any time, using the link in any email
To do any of these, email hello@tribefortune.com. We'll respond within one month.
If you're unhappy with how we've handled your information, please talk to us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Cookies and analytics
Our website is hosted by Squarespace. Some cookies are essential for the site to work and are always on. Others help us understand how people use the site, such as which pages are visited. We only use those if you accept them in our cookie banner. Our website also loads fonts from Google Fonts and Adobe Fonts, which means those services may receive your IP address and basic device information.
